MEDICAL RECORDS COORDINATION

Penna requests, chases and organizes medical records and bills, so your team doesn't have to.

For law firms, medical providers and insurance agencies. Every request is logged, every record and bill sits in one place, and gaps are flagged with the page they come from.

Common questions

How do you get records from providers as a third party?

With your client's signed HIPAA authorization naming your firm and Penna. We send each request, follow up on a set schedule and log every contact. Providers release records on a valid authorization, and state law caps what they can charge. In a filed case we can also handle requests for production to non-parties, under your attorney's direction.

How do the records get onto your system?

Providers send them back by fax, secure email, their release portal or mail. We log each one against its request and file it to your case, so every record and every provider conversation sits in one place.

Who uploads them?

We do. Our coordinator files everything that comes back from providers. If you already have records, send them to us and we file them too.

What is your portal called, and how is it set up?

It is the Penna Portal. Until it opens to clients, we deliver through a secure shared folder for your firm in Google Workspace, covered by a business associate agreement with Google. When it opens, each firm gets its own login and sees only its own cases, and every view and download is logged.

What lawyers do you work with?

Personal injury firms, under each firm's attorneys. We are independent: we don't refer cases or patients, take no payments from medical providers, and don't give legal advice. We name a client only with that client's permission.

How do you handle load?

We cap the active cases each coordinator carries and add people before we take on more work, not after. If your volume grows past our largest plan, we agree a volume schedule with you in advance, so turnaround holds.

How do you handle accidents with several claimants?

Each person is their own case, with their own authorization, records and chronology. Shared documents like the crash report are gathered once and filed to each claimant's case, but one person's medical records never appear in another's. Pricing is per claimant.

Pricing details
  • A heavy case, with 12 or more providers or 500 or more pages, counts as two.
  • Unused cases roll over one month.
  • Extra cases in a month cost 1.2 times your plan's per-case rate: $540 on Starter, $480 on Standard, $420 on Firm. If you go over two months running, we offer the plan that fits.
  • A case is one person: one claimant, one patient account or one customer's claim. There is no shared-accident discount.
  • Plan fees are billed monthly in advance by automatic payment. Plans run month to month, and either side can cancel on written notice.
  • We pay provider copying fees up front and invoice them at cost, due within 30 days and never tied to the outcome of a case. Any single request over $250 waits for your written approval.
  • More than 12 cases a month is a volume agreement: at least 20 cases a month over 6 months, from $350 a case, once we confirm capacity.
  • The free trial is not part of any plan and does not start your first month.
What we don't do
  • Give legal advice
  • Negotiate liens, reductions or claims, or argue a case to an adjuster
  • Contact patients for collection
  • Refer patients or cases, or accept payment from medical providers or anyone else for a referral
  • Tie any fee to the outcome of a case
  • Work for both sides of the same person's claim
Can we try it first?

Yes. Start with the example chronology, built entirely from synthetic records. A free trial on one of your own closed cases, one per client, runs after you sign our services agreement and its confidentiality and data protection terms. Please don't send records, redacted or not, before then.

Tell us what you need.

Try one closed case free, after signing. Medical providers and insurance agencies: ask us about availability first.

We reply within one business day. Please don't send any records until an agreement is signed.
